All for one and one for all?

Multi-function printers (MFPs) or “all-in-ones” are perfect for home offices where space is often limited.

Multi-function printers (MFPs) or “all-in-ones” are perfect for home offices where space is often limited. MFPs are available in either laser or inkjet printing and combine copier, scanner, printer and fax capabilities in one unit.

As with any new technology purchase, you’ll want to investigate your options thoroughly before making a choice. Just be prepared to be overwhelmed by the array of choices you’ll find.

Start by making a list of what features you want and need and determine your budget. The cost of one of these machines starts at around $100 and can be as much as $1,000 or more depending on how high end you go.

Laser or inkjet?
Your first decision will be whether to go with a laser or inkjet printer. If print quality is really important to you, a laser printer is probably what you are after. Keep in mind, however, that laser printers are usually more expensive than inkjets.

Consider the types of documents you will be printing, the size of files you will be scanning and/or printing, and whether you will need to print on different sizes and media such as labels or envelopes. Also be sure the printer you buy is compatible with any other software you currently have.

Next, compare the print quality or dots per inch and speed ratings for different printers. Remember that the initial cost of your MFP is just the beginning. Take the cost of toner cartridges and replacements drums into account as well. Finally, look at the different warranties and service contracts that come with each unit.

Here are a few other things to look for when shopping for an MFP:

  • A flatbed scanner, auto document feeder, adjustable feed trays and an output tray.
  • Easy toner cartridge installation and replacement.
  • SAVE features for toner, paper, power and maybe even a toll saver.
  • Expandable memory capability
  • Easy to use menu and set up features.
